Export your data

Certly can hand you back your data as a JSON file, downloaded from Settings, Site details. This article covers where that download sits, what it is for, and when the audit PDF export is the file you actually want instead.

What this article helps with

Two moments bring QA managers to this page. The first is a records request from inside the business, where someone wants a copy of what the system holds in a file they can keep outside it. The second is a closing account, where the data has to leave before the account does.

Certly answers both from one place. Settings, Site details downloads a JSON file of your data, and the same screen is where an account is deleted. One is a download and changes nothing; the other removes your sites, suppliers, certificate documents, chase history, settings and sign-in details at once, and cancels any live subscription.

If what you need is a document an auditor reads rather than a data file, that is the PDF export of the audit-ready dashboard, covered in its own article.

Download your data

  1. Sign in and open Settings, then Site details

You sign in with your email address and password. Site details is the screen that carries both the data download and account deletion.

  2. Download the JSON file of your data

The screen downloads your data as a single JSON file. It is a machine-readable copy, not a formatted report, so expect to open it in a text editor or hand it to whoever asked for it.

  3. Store the file where your other QA records live

Once the file is on your machine, move it to wherever your supplier records and audit evidence already sit, under your own retention rules, and treat it as a point-in-time copy of what the account held on the day you took it.

  4. Export the audit PDF if an auditor is the reader

The PDF export of the audit-ready dashboard gives certificate status per supplier, current, expiring soon, expired and missing, with the same two-sentence note it carries on screen: Certly tracks and reminds on certificate expiry, it does not verify certificate authenticity or guarantee regulatory compliance.

  5. Delete the account only once the file is safely held

Deletion is confirmed with your email address on the same screen, and it removes everything at once. Do it after the download, never before.

The two exports, side by side

If the download did not work, or did not hold what you expected

Try it once more from Settings, Site details before anything else, and do not delete the account until you have the file.

If the file still does not arrive, or it does not contain the record you were asked for, email support@usecertly.com with the date you tried and what you were looking for. Every message there lands in the support desk.

Two neighbouring tasks are often what the reader actually wants. If a supplier contact has asked for their personal data to be removed rather than exported, that is the erasure action on the supplier's own page. If you cannot reach Settings at all, start with the article on signing in to your account.

Worth knowing while your account stays open: Certly keeps your supplier records, certificate documents and chase history for as long as the account is open, including expired certificates, because that trail is what an auditor asks for. Archiving a supplier keeps its records and stops its reminders. Deleting the account removes it all at once, which is why the download comes first.

Questions

What format is the export?

JSON. Settings, Site details downloads a single JSON file of your data, which is a copy for keeping rather than a report for reading.

Do I have to delete my account to export my data?

No. The download and the deletion sit on the same screen, but they are separate actions. Downloading changes nothing in the account.

What happens to my data if I do delete the account?

Your sites, suppliers, certificate documents, chase history, settings and sign-in details are removed at once, and any live subscription is cancelled. The deletion is confirmed with your email address.

Which file should I give an auditor?

The PDF export of the audit-ready dashboard, not the JSON file. It shows certificate status per supplier, current, expiring soon, expired or missing, and carries the note that Certly tracks and reminds on expiry and does not verify certificate authenticity or guarantee regulatory compliance.

A supplier contact wants their details removed, not exported. Where does that go?

The supplier's own page has a delete contact data action covering the contact name and email, with the certificate records left in place. The erasure article covers it step by step.

Does exporting stop chase emails or change supplier records?

No. It is a download. Chasing, expiry alerts and supplier records are untouched by it. Archiving a supplier is what stops that supplier's reminders while keeping its records.
