Signing in to your Certly account

Certly signs you in with an email address and a password, and that pair is what matches you to your plant's supplier and certificate records. This article covers how the sign-in works, which address your account is matched on, what is stored to keep you signed in, and what you can do from account settings.

How signing in to Certly works

Certly signs you in with an email address and a password. There are only two things in play: the address the account was created under, and the password set for it.

Behind that sign-in sits the work your plant runs on: the supplier database with the certificate types each supplier has to supply, the certificate documents you and your suppliers have uploaded with their issue and expiry dates, the expiry alerts at 90, 60 and 30 days before expiry, the chase emails logged per send, the single-screen dashboard reading current, expiring soon, expired or missing, and the PDF export of that dashboard for an auditor.

Your name, email address and password are stored so you can be signed in and the account stays yours, and your password is stored hashed. Certly also keeps sign-in session records, including IP address and browser, to keep sessions secure and let you stay signed in between visits.

Which address your account is matched on

The account is the one that email address created. If you have a work address and a personal one, or two spellings of the same domain, the account holding your records is the address your suppliers and certificates were added under.

That address is also what account actions are confirmed against: deleting the account from Settings, Site details is confirmed by typing the account's own email address.

Signing up again under a second address does not give you a second view of the same records. Each account covers a single site, and supplier and certificate data is scoped to that site on every query, so a fresh sign-up opens on an empty supplier list rather than the one you already keep.

What you can do from account settings

Download your data

Settings, Site details downloads a JSON file of your data, so what you have put into Certly can leave with you.

Delete the account

Deleting from that same screen, confirmed with your email address, removes your sites, suppliers, certificate documents, chase history, settings and sign-in details at once, and cancels any live subscription.

Erase a supplier contact

A supplier contact's name and email address can be erased on their own from that supplier's page, while the certificate records for that supplier stay in place.

Know what your site name says

The site name on the account heads your audit PDF and names your plant in the chase emails your suppliers receive, so it is read by both your suppliers and your auditor.

What to know about your account

  • One email address, one account. Certly signs people in by email address and password, so two addresses are two accounts, and the one that matters is the address the suppliers and certificates were added under.
  • One site per account. Each account covers a single site, and supplier and certificate data is scoped to that site on every query.
  • Suppliers never sign in. Your supplier contacts need no account and no password. They upload through a single-use link that expires on its own, which the article on no-login supplier upload links covers.
  • Your records do not depend on the session. Certificate documents, their recorded issue and expiry dates, expired certificates and your chase history are kept while your account is open, and deleting the account removes it all at once.

Where to go next

Once you are in, pick the task up from the rest of the help centre. Getting started with Certly walks through the first chase request end to end, from adding a supplier to the email that leaves. Supplier database covers adding and editing suppliers and setting which certificate types each one has to supply. No-login supplier upload via a single-use expiring link explains the link your suppliers receive and what happens when they use it. Audit-ready dashboard covers the four statuses and the line the screen carries about its own limits: Certly tracks and reminds on certificate expiry, it does not verify a certificate's authenticity or guarantee regulatory compliance.

If you have a question about your account, the team answers at support@usecertly.com, and every message to that address lands in the support desk.

Questions

Which email address do I sign in with?

The one the account was created under. Certly signs people in with an email address and a password, so the account holding your suppliers and certificates is the one opened with that address, not a later variation of it.

Does Certly store my password?

Your name, email address and password are stored so you can be signed in and the account stays yours. The password is stored hashed.

Should I create a second account for the same plant?

It would not give you what you want. Each account covers a single site and supplier and certificate data is scoped to that site on every query, so a new account opens on an empty supplier list while your existing records stay where they are.

Do my suppliers need a password to send a certificate?

No. A supplier contact uploads through a single-use link that expires on its own, with no account and no password of their own. The article on no-login supplier upload links covers how that link behaves.

Can I take my data out of Certly, or delete the account?

Both are in Settings, Site details. The screen downloads a JSON file of your data, and deleting the account, confirmed with your email address, removes your sites, suppliers, certificate documents, chase history, settings and sign-in details at once and cancels any live subscription.

How do I reach the team about my account?

Email support@usecertly.com. Every message to that address lands in the support desk, so include the email address on the account and the name of your site.
